How we work

One route from enquiry to reorder

Every project follows the same sequence, whether it is ten pieces or a season order. Each step closes against something confirmed in writing before the next one starts, and CarryOnKits answers for the order from first enquiry to final delivery.

First response within 30 minutes during working hours, within 12 hours outside them.

The route

Thirteen steps from enquiry to reorder check-in

The steps below run in this order on every project. Where a written confirmation sits inside the sequence, the next step waits for it.

  1. 01 Enquiry and triageThe enquiry is read against what we make, then routed to the right person. First response comes within 30 minutes during working hours, within 12 hours outside them.
  2. 02 Requirement confirmationSport, product groups, quantity, size range, branding and the date the kit has to be in hand are agreed and written down.
  3. 03 Design and 3D mockupWe work from complete artwork you supply, or design with your crest, colours and references, and preview the result as an AI-assisted 3D mockup.
  4. 04 SamplingA physical sample is made to the confirmed specification. The sample fee is credited against the bulk order; the international courier cost is not.
  5. 05 Production pack confirmed in writingArtwork, colours, sizes, roster and trims are frozen into the document the lines build from.
  6. 06 DepositA 50% deposit starts production, once the complete production pack is confirmed in writing.
  7. 07 Bulk productionCore production, scheduling and quality control run through our own factory; special processes and peak capacity are covered by screened long-term partners.
  1. 08 Milestone updatesProgress on your order is reported at agreed points in the run, with real production photos and video rather than stock imagery.
  2. 09 Quality controlIncoming materials, first article, colour and placement, stitching and measurement, names and numbers, quantity and packing are checked in that order.
  3. 10 Balance paymentThe 50% balance falls due before dispatch.
  4. 11 ShippingCourier, air and sea freight are quoted per order; the destination and who carries responsibility are confirmed in writing.
  5. 12 ReceiptCartons are counted against the packing list and spot checks run against the approved sample and the confirmed size data.
  6. 13 Reorder check-inA proactive check-in on reordering follows 60–90 days after delivery.
Written confirmations

Five confirmations hold the route together

Each one is a document, not a conversation. Until it exists, the step it gates does not start.

  • Design

The artwork, crest and colours you approve, with the 3D mockup that shows how they are used across the kit.

  • Sample

The physical sample you approve, which becomes the reference for the bulk run.

  • Size data

The confirmed size chart and breakdown. The written size data is the only production basis.

  • Production pack

The frozen document the lines build from: artwork, colours, sizes, roster and trims.

  • Deposit

50% of the order value, received before the bulk clock starts, together with the confirmed production pack.

Lead time starts when the deposit is received and the complete production pack is confirmed in writing — both conditions, not one.

During the run

What reaches you while the order is being made

The client sees the order as it stands, at agreed points in the run and again before the goods leave.

A production milestone update photographed on the factory floor Recommended Size: 1360 × 480 px
  • Milestone updates

Progress reported at agreed points in the run, so a delay is visible while there is still time to answer it.

  • Real production photos

Photographs of your own order being made, rather than stock imagery of somebody else's.

  • Video during the run

Video from the floor during production, and of the finished goods once the run closes.

  • Pre-dispatch evidence pack

Final quantity count, packing list and pre-dispatch photos and video, prepared before the goods leave.

Commercial terms

Payment, the start of the clock, and delivery

Payment: a 50% deposit starts production once the complete production pack is confirmed in writing, and the 50% balance falls due before dispatch. The sample fee is credited against the bulk order; the international courier cost is not. The full terms are under MOQ, quotation and payment.

Lead time starts when the deposit is received and that pack is confirmed in writing — both conditions, not one. The conditional fast tracks and every other schedule are under lead time and delivery.

Delivery: courier, air and sea freight are quoted per order, and transit, customs and duties are confirmed in writing rather than promised in advance.

After delivery

Receipt, problem reporting and the reorder check-in

On arrival, count the cartons against the packing list, then spot check sizes, crest and colours against the approved sample and the confirmed size data.

If something is wrong, report it with carton photos, photos or video of the affected garments, the quantity affected and the packing list reference. The written documents and that evidence are checked first, then liability, the affected quantity and the remedy are agreed. The route is set out under after-sales and reorders.

A repeat order on unchanged files is still confirmed in writing before it enters production, and a proactive reorder check-in follows 60–90 days after delivery.
